1. Project backgroung

DOVISTA is a production company cooperating with hundreds of suppliers. SAP is the leading ERP system supporting production, inventory, as well as the delivery and shipping system.

DOVISTA’s suppliers use a variety of EDI (Electronic Document Interchange) systems for electronic document exchange. However, there are companies that do not have such systems. To maintain cooperation with them and save yourself the manual rewriting of data – a few years ago the web platform (ASN) was created. The main assumption of the platform was simple operation and easy access without installing any on program by end user.

2. What problems the business has met?

– no contact with the developer responsible for the platform

– high cost of maintaining the platform

– lack of necessary functionalities

– unattractive website layout

– no access to the source code, documentation, database

– no possibility to respond in any case of failure

Due to the above difficulties, there was a need to redesign the entire program and run it on a new server.

4. Flow

  1. Need for material delivery to DOVISTA
  2. PO (purchase order) is creating in the SAP system.
  3. The material supplier receives an automatic e-mail notification of the order. After logging in to the WEB ASN platform, the supplier sees the details of the PO.
  4. The supplier prepares the goods for shipment and fills its detailed data on the WEB ASN platform, then generates a pallet label.
  5. WEB ASN sends to SAP information about sending the shipment and connects it to the PO number generated at the beginning.
  6. The order is delivered to DOVISTA, and the scan of the pallet label in the warehouse results in the goods being accepted.

SUPPLIER

Provides materials for DOVISTA

NEED:

access to orders generated by DOVISTA, like: order number, type of material, quantity.

the ability to edit shipment details at least 2 hours from generating a pallet label

DIFFICULTIES:

placing the whole PO order (purchase order) on one pallet. Suppliers would like to have possibility on WEB ASN platform to divide one order into more than one pallet.

DOVISTA LOGISTICS

They cooperate with suppliers

NEED:

preview information about the pallets that are currently being prepared for sending to DOVISTA

the ability to generate historical data on deliveries

DIFFICULTIES:

-brak informacji czy dostawca spakował zamówienie na jednej palecie czy mają się jeszcze spodziewać dostawy kolejnej (brak zanotowania tego w systemie)

ADMIN

Manages accounts of suppliers and users

NEED:

– intuitive system with a friendly interface
– possibility of generating historical data about deliveries

DIFFICULTIES:

– the supplier’s accounts could not be deleted, even though DOVISTA stopped cooperation with

– messy and unattractive interface – all data on one page

8. Research - interviews with:

– Suppliers

– DOVISTA Logistics who cooperate with suppliers

– DOVISTA warehouse employees

9. What has been changed?

1. Administrator panel

Allows you to edit data, add and remove suppliers account. The administrator also creates individual accounts for users by giving a login and password.

2. Platform for sending shipments

The most important part of the project. This is where suppliers fill in shipment details.

1. ADMINISTRATOR PLATFORM

During this portfolio preparation, it turned out that there is no preview of the old platform – thus it is not possible to present what the admin panel looked like before the change.

Elements I have improved:

– too many details show in one view: suppliers’ account + users + editing, deleting + address

– too many activities carried out in one view

– adding a new supplier was placed at the very bottom of the page (long scrolling = time)

– it is not possible to delete the user on the supplier’s account

– no contact details of users

– no email address assigned to the supplier

– unattractive interface

Solution:

– I drew mockups in the UX Pin program.By this I also made UI (final look version).

– I put the suppliers on the main page and I hid their details

– Data on the site divided into clear categories

My proposition (made in UX Pin):

Look how does it work:

Final version after developers coding:

Developers from the company responsible for the implementation of the platform slightly changed the final appearance, but the whole idea was saved.

2. Platform TO SENDING SHIPMENT

After giving the platform a new look (admin panel), here I focused only on sketches with a detailed description of the function. The colors were to be analogous.

Because the users were already accustomed to the previous platform, I tried not to make their work harder. I redesigned it in such a way that it resembled the previous version, but to make it more intuitive and respond to the users’ need.

My proposition of new platform

-actions divided into tabs: send a shipment, pending shipment, pallet history, account

-in the same window, you can select purchase order

that you want to process (previously it was a extra window)

-supplier can decide which items from the order are confirmed as packed and which will be sent later (e.g. due to lack in stock or because the order does not fit on one pallet)

-supplier can speed up his work and force platform to remember the dimensions of the pallet, which he most often send and also gives its name

-when entering the dimensions of the palette, the specific line in the image with the cube is highlighted
